POLICY FOR THE USE OF THE NORTH VALLEY SDA CHURCH

ELIGIBLE USERS:
  1. Church, church sponsored, and church affiliated groups of North Valley.
  2. Members of North Valley S.D.A. Church and non-members for their private use. (Ex: weddings, wedding receptions, birthday/anniversary parties, etc.) All reservations are subject to Church Board Approval.
  3. Church sponsored, and church affiliated groups of a church other than North Valley.
  4. Youth groups, such as Scouts, etc.
  5. Groups or organizations whose function is to provide a beneficial service to people or community improvement and/or whose activities are based on Christian principles. (Ex. Alcoholics Anonymous, etc.)
  6. Business or social groups (non member functions).

SUGGESTED USER FEE: (Members of North Valley S.D.A. Church and their immediate family are exempt from fees listed in #1 & #2 below. Immediate family includes husband, wife, son, daughter.)

  1. Entire Church facility, $500.00 (time not to exceed 4 hours, $150.00 every hour thereafter).

     2.   Sanctuary or Fellowship hall only $300.00 (time not to exceed 4 hours, $100.00 every hour thereafter).

     3.   If the Sanctuary is used and the sound system is needed an operator will be required and paid an    hourly rate of $20.

  1. There will be an "overseer" present for non-church member functions who will be paid an hourly rate of $20.
SUBMITTING & APPROVING REQUESTS:

All written requests are to be submitted to the Pastor at least two months in advance. The persons requesting rental should call 540-362-0200 to determine whether the requested time and date would conflict or interfere with any regularly or previously scheduled events. If there is no conflict this form should be mailed with the security deposit to the Pastor who will take the request to the Church Board for approval or rejection. If approved, the event will then be noted on the master calendar in the Pastor’s office.

 
 
 
RESPONSIBILITIES OF USERS:
All groups using the facilities will be responsible for:
  1. Setting up chairs tables and other equipment to be used. (Set up/tear down may be contracted through the Pastor at an additional cost of $50 [does not include clean-up.])
  2. Confining activities to the area assigned to your group (ex. Fellowship Hall).
  3. Preventing damage to equipment and facilities.
  4. Putting away all chairs and tables used, or returning them to previous arrangements.
  5. If kitchen is used it will be returned to condition prior to rental.
  6. Lights and electrical equipment are turned off before leaving, including restrooms.
  7. All outside doors and windows are closed and locked before leaving the building.
  8. Report to the Pastor all damages or malfunction of equipment or facilities or leave message on the Church answering machine indicating damages.
  9. Pay for any and all damages and breakage to any church property or buildings.
  10. Restoring all space used to its original condition prior to departure. All trash must be hauled away by users upon departure. (Janitorial assistance/clean-up will be provided for an additional fee determined by the amount of clean-up and restoration needed).
  11. Cleaning outside grounds, (if necessary) and returning them to their original condition prior to rental.
  12. Ensuring candles are not used inside the building.
  13. NO SMOKING OR USE OF ALCOHOLIC BEVERAGES ON CHURCH PROPERTY, NO EXCEPTIONS.

Failure to abide by the above will result in the user being prohibited from using the facilities in the future.

AGREEMENT:

I, the undersigned, and authorized officer (or member of) ______________________________ agree to the rules and regulations established and furnished to me concerning the use of the church building and or fellowship hall. I agree to ensure proper use of the facility, personally ensure the facilities are properly cleaned and equipment put away. I agree to report all malfunctions or damage and shall reimburse the Church for any and all damage resulting from our use or theft resulting from carelessness by our group.

I/WE agree to submit a security deposit of $150 in addition to any applicable fees with this reservation. In the event of damage to the facility of Church property, ME/US/WE agree to forfeit the security deposit and pay any additional costs incurred in repairing the damage to the facility or property. If the facility is left un-cleaned and disordered and no prior arrangements have been made, I/WE agree to forfeit the security deposit. I/WE understand that if I/WE choose to cancel our scheduled event for any reason other than inclement weather, I/WE must notify the Church at least seven (7) days prior to the scheduled time of the event. I/WE understand that if this notification is not given, I/WE agree to forfeit the security deposit to the Church. The security deposit will be refunded in full only if conditions listed under "Responsibilities of Users" are met.

I/WE, the User, also agree to indemnify and hold harmless the Potomac Conference of Seventh-day Adventist and or the members of the North Valley Seventh-day Adventist Church from any and all claims or losses or damages or other liabilities which may be asserted against the Potomac Conference of Seventh-day Adventist and or the members of the North Valley Seventh-day Adventist Church by the User or any of its members or guests or invitees who enter upon the Church property, including but not limited to the facility and parking lot and land in connection with the use contemplated by this reservation. The indemnification includes any and all costs, expenses, and legal representation fees which may be incurred by the Potomac Conference of Seventh-day Adventist or the members of the North Valley Seventh-day Adventist Church incident to such claims.

In signing below, I certify that I have the authority to sign for the User and agree that I commit the User to everything agreed upon by this document.
